What is a Channel Manager and how does it connect accommodation to channels?

In hospitality, a Channel Manager is a system that connects accommodation sales channels. Its role is to keep supported data aligned between your system and portals such as Booking.com. Each individual integration determines what it actually exchanges.

One place for distribution, several sales channels

A sales channel is a place where a guest finds and books accommodation. OTA means online travel agency; Booking.com and Airbnb are familiar examples of accommodation booking portals. When you sell the same accommodation in several places, you need to align what can be booked and on what terms.

A Channel Manager supports that exchange. Do not assume every connection transfers rates, messages, photographs and all reservation data. Check the chosen product's documentation for supported data, transfer direction and prerequisites for your account.

Before considering products, write down the problem you want to solve: for example, managing rates in one place or aligning blocked dates. These two requirements do not imply the same connection scope.

Inventory, availability and rates are different things

Booking.com's documentation distinguishes the inventory a property offers from the availability a guest can book based on their search. An unoccupied date is therefore not the only condition: guest numbers and stay conditions also matter.

This example illustrates concepts, not a product. Imagine three rooms in the same selling category. Two are already occupied on a date, and you want to offer one. Even that room may not be bookable by a guest who does not meet the stay conditions.

Follow the whole reservation journey

Booking.com's Reservations API separately documents new bookings, modifications and cancellations. This describes that interface's scope; it does not prove every Channel Manager uses it in the same way.

An illustrative flow starts when a booking is received. The system needs to identify the unit or room type, process occupancy and update sales on other connected channels. Mapping links the unit and rate-plan identifiers in one system to the corresponding identifiers in another.

During a demonstration, ask for the same example to be modified and then cancelled. Check which dates and how many units appear at each step. Note where failed processing is shown. Sending a message is not in itself confirmation of the final state.

This is not a promise of uninterrupted synchronisation or protection against every double booking. Agree who checks discrepancies and how to pause sales if the state cannot be established reliably.

Where does distribution end and the PMS begin?

A PMS, or property management system, covers operational work. Oracle's description of a hotel PMS includes reservations, check-in and check-out, room allocation and billing. This illustrates the role of a PMS, rather than a universal feature list for every product.

Think of the Channel Manager in terms of connections to sales channels, and the PMS in terms of work at the property. If a quote covers both, ask for a clear list of included functions. If you already use a PMS, ask to see its connection to the proposed system.

Decide where staff enter rate changes, record direct bookings and track arrivals. For each action, write down the expected result on the channels. This makes it easier to spot when two systems handle the same data differently.

Where do API and iCal fit?

iCalendar is a calendar data format. In accommodation, a common example is importing blocked dates through a calendar link. Airbnb's instructions describe this import and export, including refresh rules.

An API is a programming interface. Specific interfaces may cover a broader set of data: Booking.com's Rates & Availability API documents inventory, rates and restrictions. The API label alone does not tell you which capabilities a supplier has implemented.

Who benefits most from this check?

Consider your workflow instead of deciding solely by property count. Even one apartment may have several active channels; a larger property may already have a system that covers its distribution needs.

  • Property operator: list the listings for the same apartment and the changes you currently enter manually.
  • Hotel: prepare an example of a room type, inventory and rate plan to connect to your existing PMS.
  • Agency: decide who can change each property and who investigates errors.
  • Selling through one channel: first identify the specific work an additional system would take on.

What to bring to a supplier conversation

Prepare a list of units and channels, three typical changes you want demonstrated, and the contact responsible for settings. Do not send credentials or guest data in an initial enquiry.
